Email Communications To ensure you receive important Conference updates, please add
info@ahta.org to your safe sender list. You may need to work with your IT department to allow messages from AHTA communication servers.
Conference Pricing Registration fees include access to educational and networking sessions, the Exhibit Hall, scheduled in-conference meals, and official Conference receptions. Some workshops, tours, and off-site receptions may require additional registration fees.
Member pricing is available to individuals with an active AHTA membership. The email used during registration must match your membership record for discounts to apply.
Registration Changes and Additions Conference sessions, workshops, and special events may be added, changed, or cancelled through the registration system or by contacting the AHTA Conference Team at
info@ahta.org.
Cancellations, Refunds & Transfers
Cancellations and Refunds Cancellations must be submitted in writing to
info@ahta.org.
Refund Schedule:
- Cancellations received by July 1, 2026: 75% refund
- Cancellations received between July 2, 2026 and September 1, 2026: 50% refund
- After September 1, 2026: No refunds for cancellations, no-shows, or unused tickets
If unforeseen circumstances require event cancellation, registrants will be contacted with options for refunds, transfers, or donation of registration fees.
Transfers Registrations may be transferred to another individual within your organization at no additional cost before October 1, 2026 by contacting
info@ahta.org.
Housing and Travel Attendees are responsible for making and cancelling their own hotel and travel reservations. AHTA is not responsible for airline or lodging changes.
Accessibility, Health & Safety
ADA Accommodations AHTA welcomes all attendees. Requests for accommodations under the Americans with Disabilities Act (ADA) must be submitted in writing to
info@ahta.org as soon as possible after registration to allow sufficient planning time.
Health & Safety AHTA will follow all applicable public health guidance and reserves the right to modify safety protocols to protect attendees. By registering, you agree to comply with all health and safety policies in effect at the time of the event.
Conduct and Media
Diversity, Equity & Inclusion AHTA is committed to fostering an inclusive, accessible, and equitable professional environment where all participants are respected and valued.
Code of Conduct AHTA is dedicated to providing a harassment-free Conference experience. Discriminatory, harassing, or disruptive behavior is not tolerated. Violations may result in removal from the Conference and exclusion from future AHTA events.
Reports may be made to AHTA staff onsite or by contacting
info@ahta.org. In cases of immediate danger, please contact local emergency services.
Photography and Recording By attending the Conference, you grant AHTA permission to photograph, record, and use your likeness for lawful promotional and educational purposes without compensation.
Digital Access Registrants will have access to the Conference website, mobile app, and digital resources for up to one year following the event.
Exhibitor Policies
Booth Cancellations Written cancellations must be submitted to
info@ahta.org.
- Cancellations received by July 1, 2026: 90% refund
- Between July 2, 2026 and September 1, 2026: 50% refund
- After September 1, 2026: No refunds
Indemnity & Insurance Exhibitors must maintain general liability insurance with limits of at least $1,000,000 per occurrence and name AHTA and the host hotel as additional insureds.
Event Cancellation If the event is cancelled due to circumstances beyond AHTA’s control, booth and registration fees will be refunded in full.
Nondisclosure of Attendee Lists Opt-in attendee contact information may be used only for legitimate networking and professional outreach purposes and may not be sold, shared, or misused.
Giveaways Exhibitors must comply with all host hotel policies regarding food and beverage distribution.
